Powerful Systems, Inc., a Delaware corporation ("Powerful Systems," "we," "us," or "our"), operates Chapter, a school comparison and research platform for educational consultants and the families they serve.

This Privacy Policy explains how we collect, use, share, and protect personal information. By using Chapter, you agree to the practices described in this policy.

How Chapter Works

Chapter is a platform used by independent educational consultants ("Consultants") to research schools and manage their work with families. Families and students ("Families") access Chapter through their Consultant's invitation.

This creates two types of users with different data relationships:

  • Consultants create accounts, subscribe to the service, and input data about the families they work with. Consultants are responsible for obtaining appropriate consent from their families before entering personal information into Chapter.
  • Families are invited by their Consultant and may provide information directly through onboarding forms, or have information entered on their behalf by their Consultant.

For Family data entered by or on behalf of Consultants, Chapter acts as a data processor — we store and process this data on the Consultant's behalf to provide the service. The Consultant is the data controller and determines what data is collected and how it is used within Chapter.

For Consultant account data and data we collect automatically from all users (such as analytics), Chapter is the data controller.

What Information We Collect

Consultant Account Information

When a Consultant creates an account, we collect:

  • Email address (used as your unique identifier)
  • First and last name
  • Organization name and membership role
  • Account authentication data (managed by our authentication provider, Clerk)

Family and Student Information

When Consultants or Families enter data into Chapter, we may collect:

  • Student profile data: First and last name, current school, target grade level, interests, activities, strengths, and growth areas
  • Learning needs: Information about educational accommodations (such as IEP, 504 Plan, or learning differences) entered to help match students with appropriate schools. We treat this as sensitive personal information and use it only to provide the Services.
  • Parent or guardian contact information: First and last name, email address, and phone number
  • Student photos: Profile photos uploaded during onboarding, stored securely in our cloud infrastructure and not shared with AI providers or other third-party services
  • Onboarding responses: Personality descriptors, school preferences (type, size, vibe, coeducation, boarding, religious affiliation, financial aid needs), and regional preferences
  • Consultant notes: Observations, session notes, and assessments entered by the Consultant

This data is entered voluntarily by Consultants and Families. Only the information relevant to the school search is collected — we do not request or store Social Security numbers, financial account information, or medical records.

Location Data

To help find schools within a reasonable distance, we may collect:

  • Home addresses and search area addresses provided manually
  • Geographic coordinates derived from addresses (via geocoding)
  • Browser geolocation (only with your explicit permission)

Location data collection is optional. You can decline browser location requests and manually enter an address instead.

Search and Preference Data

When using Chapter to search for and compare schools, we store:

  • Saved searches with filter preferences
  • School shortlists with notes and reactions
  • Published search results (accessible to anyone with the share link)

Analytics Data

We use Google Analytics to understand how our platform is used in aggregate. Google Analytics collects:

  • Pages visited and features used
  • Browser type, device type, and general geographic region
  • Referral sources

Google Analytics uses cookies to collect this information. You can opt out of Google Analytics by installing the Google Analytics Opt-out Browser Add-on. For more information, see Google's Privacy Policy.

We do not use advertising cookies, tracking pixels, or cross-site behavioral tracking.

How We Use Your Information

We use the information we collect to:

  • Provide the service: Display schools based on location and preferences, save searches, generate presentations, and enable sharing
  • Power AI features: Generate school information enrichments and family presentation narratives (see "Artificial Intelligence" section below)
  • Calculate distances: Determine drive times and transit times between home addresses and schools
  • Improve the platform: Understand usage patterns through aggregated analytics to improve features and performance
  • Communicate with you: Send service-related communications such as organization invitations

We do not sell personal information to third parties. We do not share personal information with advertisers.

Artificial Intelligence

Chapter uses AI to enrich school information and generate presentation narratives for Consultants. We believe in being transparent about how this works.

What Data Is Processed by AI

School enrichments (pedagogy, extracurriculars, tuition, admissions, and similar school attributes) are generated using publicly available school information — school names, locations, websites, and publicly reported data. No personal or student data is involved in school enrichments.

Presentation generation creates a narrative profile of a student and their school matches. To generate this content, student profile information (such as name, interests, and learning preferences) and school information are sent to our AI provider.

How AI Providers Handle Your Data

We currently use OpenAI's API to power AI features in Chapter. Under OpenAI's standard API data usage policy, data sent through the API is not used to train or improve OpenAI's models by default. Generated content is cached in your Chapter account so it does not need to be regenerated.

Third-Party Services

We share information with the following service providers to operate Chapter. Each provider receives only the data necessary to perform its function.

Clerk (Authentication)

  • Purpose: User account management, authentication, and organization invitations
  • Data shared: Email address, name, organization membership, and authentication credentials
  • Privacy policy: clerk.com/legal/privacy

Mapbox (Maps and Geocoding)

  • Purpose: Map display, address autocomplete, and converting addresses into geographic coordinates
  • Data shared: Addresses entered for location lookup
  • Privacy policy: mapbox.com/legal/privacy

Google Maps Platform (Distance Calculations)

  • Purpose: Calculating drive times and transit times between locations and schools
  • Data shared: Geographic coordinates (not street addresses) for route calculations
  • Privacy policy: policies.google.com/privacy

OpenAI (AI Features)

  • Purpose: School information enrichment and presentation generation
  • Data shared: School information for enrichments; student profile data for presentations (see "Artificial Intelligence" section above)
  • Data handling: Standard API data usage policy applies (data not used for model training by default)
  • Privacy policy: openai.com/enterprise-privacy

Google Analytics (Usage Analytics)

  • Purpose: Understanding aggregate platform usage patterns
  • Data shared: Page views, feature usage, browser and device type
  • Privacy policy: policies.google.com/privacy

Cloudflare (Infrastructure)

  • Purpose: Application hosting, content delivery, file storage, and database connectivity
  • Data shared: All data transits Cloudflare's network as our hosting provider

Slack (Internal Operations)

  • Purpose: Receiving data quality reports submitted by Consultants about school information
  • Data shared: School name, issue category, issue description, and reporter name
  • Privacy policy: slack.com/trust/privacy/privacy-policy

Other Service Providers

We use additional infrastructure providers to operate Chapter. These providers have access to data necessary to perform their services and are contractually obligated to maintain your privacy and security.

Data Storage and Security

We implement industry-standard security practices including:

  • Encrypted data transmission (HTTPS/TLS)
  • Secure, access-controlled database infrastructure
  • Authentication managed by a dedicated identity provider (Clerk)
  • Regular security updates and monitoring

Data Retention

  • Consultant account data: Retained while your account is active and for a reasonable period after account closure
  • Family and student data: Retained at the direction of the Consultant for as long as their account is active
  • Saved searches and shortlists: Retained until deleted by the user
  • Published results: Retained indefinitely with no automatic expiration (accessible via share link)
  • AI-generated content: Enrichments and presentations are cached in Chapter and retained with the associated engagement or search data
  • Analytics data: Retained by Google Analytics according to their data retention settings

Your Rights and Choices

For Consultants

  • Access your data: View your account information, searches, and client data through your Chapter dashboard
  • Export data: Presentations and shortlists can be shared and exported
  • Delete data: Remove individual searches, engagements, and associated family data at any time
  • Close your account: Contact us at support@withchapter.com to request account deletion, which will remove all associated data

For Families

Your data in Chapter is managed by your Consultant. To access, correct, or delete your personal information:

  1. Contact your Consultant directly — they control your data in Chapter and can update or remove it
  2. Contact us — if you are unable to reach your Consultant or have concerns, contact us at privacy@withchapter.com and we will forward your request to the appropriate Consultant or assist you directly

Location Data Control

  • Deny browser location access by declining permission requests
  • Use manual address input instead of browser geolocation
  • Request removal of stored location data through your Consultant or by contacting us

Children's Privacy

Chapter is designed for parents, guardians, and educational consultants researching schools on behalf of children. The platform collects information about children (such as names, grades, interests, and learning needs) but this information is entered by adults — Consultants and parents or guardians — not by children themselves.

Children under 13: We do not knowingly collect personal information directly from children under 13. Invitation links sent by Consultants are intended for parents and guardians, not for minor students. If a child under 13 has provided information directly to Chapter without parental consent, please contact us immediately at privacy@withchapter.com and we will delete it.

Students ages 13-17: Student data is entered and managed by Consultants and parents or guardians. Consultants are responsible for ensuring they have appropriate parental consent before entering information about minor students.

FERPA: Chapter is not a school or school official, and the data in Chapter is not derived from educational records maintained by schools. School data in Chapter comes from publicly available government datasets and publicly accessible school websites. Family data in Chapter is provided voluntarily by Consultants and Families, not transferred from school records.

Changes to This Privacy Policy

We may update this Privacy Policy from time to time. When we make changes, we will update the "Last updated" date at the top of this policy. Your continued use of Chapter after changes constitutes acceptance of the updated policy.

In the event of a merger, acquisition, or sale of assets, your personal information may be transferred to the acquiring entity. Any acquirer will be subject to the obligations of this Privacy Policy.

Do Not Track Signals

Chapter does not respond to "Do Not Track" browser signals because there is no industry standard for compliance. However, we do not engage in cross-site behavioral tracking or serve targeted advertising.

Data Breach Notification

In the event of a security breach affecting your personal information, we will notify affected users and relevant authorities as required by applicable law.

California Privacy Rights (CCPA/CPRA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act and California Privacy Rights Act:

  • Right to know: Request the categories and specific pieces of personal information we have collected, the sources of collection, our business purposes for collecting it, and the categories of third parties with whom we share it
  • Right to delete: Request deletion of your personal data, subject to certain exceptions
  • Right to correct: Request correction of inaccurate personal information
  • Right to opt-out of sale or sharing: We do not sell personal information or share it for cross-context behavioral advertising
  • Right to limit use of sensitive personal information: We use sensitive personal information (such as learning needs data) only to provide the services you requested
  • Non-discrimination: We will not discriminate against you for exercising your privacy rights

Categories of personal information we collect: Identifiers (name, email), geolocation data, education information (interests, learning needs, grades), professional information (Consultant role, organization), and internet activity (analytics data).

Categories of sources: Directly from Consultants, directly from Families through onboarding forms, from Consultants on behalf of Families, and automatically through analytics and cookies.

Categories of third parties: Authentication providers, mapping services, AI service providers, analytics providers, cloud infrastructure providers, and internal communication tools (see Third-Party Services section above).
